Basic Policy on the Handling of Personal Information

Manifold Estate Co., Ltd. (the “Company”) recognises the proper protection of personal information relating to clients, transaction participants and other individuals as an important responsibility. This Policy is established in accordance with Japan’s Act on the Protection of Personal Information and other applicable laws and guidelines.

3. Purposes of use

  • Responding to enquiries, sending materials and making necessary contact
  • Proposing, assessing, entering into and performing property sales, leasing, brokerage, management and related services
  • Coordinating with owners, tenants, purchasers, sellers, property managers, financial institutions, professional advisers and other real estate businesses
  • Conducting identity checks, retaining records and responding to authorities as required by law
  • Improving services, analysing use, maintaining security and preventing misuse
  • Providing service or event information where legally required consent has been obtained
  • Handling disputes, incidents and complaints and protecting the Company’s lawful interests and property

4. Fair collection and limited use

The Company does not obtain personal information by deception or other improper means and uses it only as necessary for the stated purposes. A change beyond a reasonably related purpose will be notified, published or separately consented to as required by law.

5. Disclosure to third parties

  • The Company does not disclose personal data to third parties except with the individual’s consent, where required by law, where necessary to protect life, health or property and consent is difficult to obtain, or in another case permitted by law.
  • Where a particular property transaction requires disclosure to transaction parties or relevant institutions, the recipients, data items and purpose will be explained before the transaction and consent obtained where required.

6. Processors and service providers

The Company may engage cloud and other service providers for operation of this website, storage of enquiry records, system maintenance and other necessary functions. Providers are appropriately selected and supervised through contracts, access controls and review.

7. Overseas processing

Because this website uses cloud infrastructure, personal data may be processed outside Japan. The Company assesses provider safeguards and relevant foreign legal systems and applies necessary security measures. Where consent is legally required for disclosure to a foreign third party, prescribed information will be supplied before consent is obtained. Information that can be disclosed about the infrastructure and safeguards may be requested through the website enquiry form.

8. Security measures

The Company maintains organisational, personnel, physical and technical safeguards proportionate to risk, including access restrictions, account and credential management, protection of data in transit and storage, staff training, provider oversight and incident-response procedures. Further details available under applicable law may be requested from the contact point.

9. Retention and deletion

Enquiry records submitted through this website are normally retained for 180 days from submission and then deleted automatically. They may be deleted earlier when no longer required. This does not apply where information must be retained separately as a transaction record, by law or for dispute management.

10. Local storage and access information

The website uses browser local storage to remember whether the user has agreed to the Privacy Policy. The server may process the minimum access information necessary for secure operation and prevention of misuse. The website currently uses no cookies for analytics or advertising.

11. Individual rights

Subject to applicable law, individuals may request notice of purpose, access to retained personal data and third-party disclosure records, correction, supplementation, deletion, restriction, erasure or cessation of third-party disclosure. Select “Personal information request” in the website enquiry form to submit a request. The Company may request evidence necessary to verify identity and will respond in accordance with law. No fee is normally charged; any exceptional out-of-pocket cost will be explained before the procedure begins.

12. Minors

Depending on the transaction and the minor’s capacity to understand, consent from a parent or other legal representative may be required before personal information is submitted.

14. Amendments

This Policy may be revised for changes in law, services or processing. Material changes will be prominently announced on the website and renewed consent obtained where required.
